Travel agents are valuable
industry partners. They are usually paid a commission percentage
based on the rate. Effective setup and usage of the Travel Agent
fields in Visual Matrix will aid in prompt payment processing,
effective tracking, and keeping these valuable partners working on
behalf of the hotel.
1. Travel Agent Information
The IATA should be provided by the agency/agent at the
time of booking the reservation. IATA stands for
International Association of Travel Agents. For the sake of processing
payments for commissions, a Federal Tax ID is required. It
should be provided by the agency/agent. There may be a need for
the 1099 form for the IRS as well. Check the Form 1099 box. A Company Code associated with the rate structure of a particular Company
helps maintain rate integrity and effective tracking.
Type(s) of the
commission has options accessed through the drop-down window. Standard commission
percentage is 10%. There are options within the management
team for negotiations that extend more or less. Enable
yes or no accordingly. Statistics provide data on Revenues, Room Nights, ADR, and the %
offered off of Rack Rate. Data is provided for the
current year and previous year for comparisons based on Year over
Year. Use filters to
refine the period you would like to search.
4. Contact Information
The data entered here
can reference the lead agent for the agency or the agent
specifically responsible for booking a particular account. Using the Comments section can provide more clarity in the profile of the agency or agent.
