Custom Letters can replace the generic confirmation letter if you attach them to a reservation, using the "Custom Letter" field in the Guest/Contact Information section of the reservation. Custom Letters can also be used in the Accounting Night Audit Default Settings for automatic nightly emails. The letter is exactly a confirmation letter with a different body text.
Path: Management > Property Settings > Letters
1. Choose "Custom Letter".
2. Click "Add New".
3. Enter a name for this letter in the "Description/Title" field.
4. If you choose to customize your letter by using the
HTML feature, upload it here. The Html letter will display in the email body and not as an attachment.
5. Or use this letter body to enter the text you want to add to the confirmation. This body text will not show in the email body but in the attached confirmation letter. The email body will only contain one word: "Confirmation".
6. Click Save.
The Custom Letter
As a confirmation letter, with a different body text, it will be sent as an attached PDF to the email. The confirmation letter will contain all relevant information about the guest and their reservation. Details about the letter setup can be found at the bottom of the document.
The confirmation letter only shows daily rates for stays up to 7 days. If the stay is longer than 7 days, an average rate will show for the nights between the 8th day and the end of the stay.
The Confirmation Email
Only the letter, which will be sent as an attachment to the email, can be customized. The email subject line and the name of the attached document are hardcoded and cannot be modified.
The Subject of the email will be made of: Property Name + Confirmation + Confirmation Number.
