Once the Night Audit is completed, Visual Matrix generates a set of reports summarizing the activity of the business day that was just closed. These reports include financial totals, transaction details, and operational statistics used by front office staff, accounting teams, and management to review the day’s activity.
Night Audit reports are static reports, meaning they always reflect the data from the business day that was closed during the audit. Because of this, they can be printed, emailed, or reviewed again at any time in the future without changing the information they contain.

Accessing Night Audit Reports
After the audit is completed, Night Audit reports can be accessed from the Reprint Reports screen.
From this screen, users can:
- View individual reports
- Print reports
- Email reports
- Generate the full report package again if needed
The Report Date automatically displays the date of the business day that was just closed during the Night Audit.
Management Reports Included
These reports focus on financial activity and transaction summaries.
- Operator Transactions Report: Displays all postings, payments, and adjustments recorded during the business day.
- Transaction Log: Provides a chronological record of transactions entered in the system.
- Room and Tax Reports: Provides access to three reports related to room revenue and tax postings:
- Room and Tax Listing: Displays room charges and taxes posted for each reservation.
- Revenue Tax Summary: Summarizes revenue and tax totals for the business day.
- Tax Exempt: Lists reservations that were marked as tax exempt.
- Credit Card Batch Report: Displays credit card transactions processed and settled during the Night Audit.
- Daily Report: Provides a summary of the property’s financial and operational activity for the business day.
- General Ledger Journal: Shows the accounting entries generated for the business day.
Marketing Reports Included
These reports provide information used for reporting and marketing analysis.
- Market Segment Report: Breaks down reservations by market segment.
- Reason for Stay Report: Shows the reason guests selected when booking their stay.
- Referral Method Report: Identifies how guests heard about the property.
Viewing Individual Reports
From the Reprint Reports screen:
- Locate the report you want to review.
- Select View to open the report.
- Use the Print option if a physical copy is needed.
- Select Close to return to the report list.
Reports can be reviewed individually or generated together using the Generate Reports button.
- The Report Date automatically reflects the business day that was just closed.
- Night Audit reports are static, meaning they do not change after the audit is completed.
- Reports can be printed or emailed again at any time in the future.
- Printing and email preferences can be configured in Night Audit Report Default Settings.
