The Availability screen in Visual Matrix Cloud relies on the Res Matrix to display accurate room counts. When large reservation changes occur—such as cancellations, group pick-ups, or adjustments to blocks—the data behind the scenes can occasionally fall out of sync. This can cause the Availability screen to show totals that don’t match your actual inventory. The Rebuild Res Matrix tool refreshes this internal room-status database so your property sees the correct room counts again. It’s a quick process located in the Front Office Supervisor area and is safe to perform whenever you notice a discrepancy on the Availability screen.

What the Res Matrix Does

The Res Matrix is the internal database that tracks every room and its status. The Availability screen uses this information to show totals for each room type and for overall inventory.
When the Res Matrix does not update correctly—typically after reservation modifications, group activity, or large cancellations—the Availability screen may show inaccurate totals.

Running the Rebuild Res Matrix Tool

1. Go to Front Office > Supervisor > System Maint
2. Select Rebuild Res Matrix in the upper-right corner. The rebuild begins immediately—there is no confirmation prompt.



3. When the process finishes, a green banner appears at the top of the screen indicating: âœ” Rebuild of Reservation Matrix Complete!

InfoIf you receive an error message:
The system will display a sequence of numbers or codes. This indicates the rebuild did not complete. Please contact the Visual Matrix Client Experience team and provide the error details shown.
