Night Audit Reports (Desktop | Video)


This article refers to the Desktop version. For the Cloud version, click HERE.

Once the night audit is completed, the page will switch automatically from the Run Audit tab to the Reprint Report tab.
Visual Matrix is paper saving... the reports are not printing nor sending automatically at the end of the audit but it is only one click away!

The page can be divided in 6 sections:
1- Reports date;
2- The reports;
3- Reports to print;
4- Reports to email;
5- Format of the emailed report;
6- Generate reports;



1- Reports Date

The date that will show by default is the last audit date. It can always be changed to another past date if past reports are wanted.
If you do not print or email the reports today, you can always come back and do it later.

2- The Reports

Half of those reports are the same that were available for control in the pre-audit checklist.
There are two types of reports: Management and Marketing. Each report have a View button to view the report.
Click on each report title to get to their dedicated article.

Operator Transactions

The Operator Transactions report will show all payments posted for the given date or date range.

Transaction Log

The Transaction Log report will show all accounting codes posted for the given date or date range.

Room and Tax

The Room and Tax report has 3 sub-reports:
Room and Tax: this report will show the "Room and Tax Listing", detailing every charge per room number, and the Revenue Tax Detail Report, detailing the room charge and the tax per tax code, if multiple taxes.
Revenue Tax Summary: this report will show the total room revenue and the total of revenue for each tax code, as well as the total of revenue that was exempted of tax for the day.
Tax Exempt: this report will detail the amount of revenue that was exempted per room number, the amount of tax posted and the type of exemption (Full or Partial) and the reason of the exemption.

Credit Card Batch

The Credit Card Batch report will show the status of every credit card payment in the batch, whether it is settled or unsettled.

Daily Report

The Daily report is divided in x sections:
- Statistical Recap;
- Detail Listing per Guest Ledger;
- Detail Listing per City Ledger;
- Detail Listing Summary per Guest Ledger and City Ledger.

General Ledger Journal

The General Ledger Journal will show the amount posted per Accounting Code and Ledger Code.
The Journal will only generate if the General Ledger Accounts have been set up.

Market Segment

The Market Segment report will details the revenue generated per market for the day, the month and the year.

Reason for Stay

The Reason for Stay report will details the revenue generated per market for the day, the month and the year.

Referral Method

The Referal Method report will details the revenue generated per market for the day, the month and the year.

BWR Elite Recognition (Best Western Hotels)

When a BWR guest was checking in, the front desk had to choose if the guest prefered to get the snack or extra points.
This report gives the count of each choice by guest with its BWR number.
This report is for past reporting only has the feature has now been disabled.

3- Reports to Print

To print a copy of a report, have to enter the number of copies in the field. If no prints are wanted, leave 0.
The report will print by clicking on Generate Reports (6).
This setting can also be pre-setup from the Default Settings tab.

4- Reports to Email

To send a report by email, check the box. The recipient email will be set up in Management > User Settings > Email.
This setting can also be pre-setup from the Default Settings tab.

5- Format of the emailed report

Each report can be emailed in a specific format: PDF, Word or Excel.
This setting can also be pre-setup from the Default Settings tab.

6- Generate Reports

All in one, the Generate Reports will print or email based on the number of copies entered (3) or the email box checked (4).
