Pre-blocking rooms helps your front-desk team assign rooms in advance, streamline check-in, and manage arrival expectations before guests reach the property. Using the Reservation Management tools in Visual Matrix Cloud, you can quickly prepare room assignments for arriving guests based on date, room type, or other filters.

Instructions
Use these steps to filter arriving reservations, review eligible guests, and assign rooms efficiently before arrival day.
1. Select the arrival date you want to prepare. The system will load all reservations scheduled to arrive on that date.
2. (Optional) Filter by room type if you want to pre-block only certain categories. For example: assign all King rooms first, then return later for Doubles.
3. Refine the list using the Search By and Search For filters as needed. This helps isolate specific guests or reservation segments.
4. Click Refresh to update both the Arrivals by Day list and the Room Chart based on your selected filters.

5. Select a reservation from the Arrivals list. Click any guest in the Arrivals by Day list to load their reservation details in the panel below.
6. Review the reservation details. Verify the guestâs information, dates, room type, and any notes or requests before assigning a room.
7. Use the Room Chart to view room availability. When you select a reservation, the Room Chart updates to show availability for that reservationâs room type.
- This chart is for reference only and helps you choose an appropriate room number.
- Room assignment cannot be performed directly from the Room Chart.
8. Assign a room number.
- Use the Room Block dropdown in the reservation details section to select the room you want to assign.
- Once selected, the room assignment is applied directly to the reservation.
If your property is connected to an electronic lock interface, you can also use this Res Management page to create keys for arriving guests once their room number has been assigned.
