When Canary is integrated with Visual Matrix Cloud, you can automate much of the reservation-handling workflow: when a guest makes or modifies a reservation, pre-registration steps become smoother, add-ons are tracked, and status updates synchronize without repetitive manual entries. This reduces front desk workload and helps provide guests with a faster, more accurate check-in experience.

Instructions
1. When a new reservation is created in Visual Matrix Cloud (or an existing reservation is modified), it is sent to Canary after a short delay and appears in Canary with the status Pre-Reg (Pre-Registration).
2. After Canary processes the reservation, Visual Matrix Cloud records all Canary information in the reservation’s Comments field. This includes guest-provided details (such as the number of adults and children or vehicle information), as well as any approved upgrades and add-ons.
The integration does not overwrite reservation details in Visual Matrix. Everything from Canary is added only to the Comments section of the reservation.
3. If a guest requests an add-on in Canary and that add-on is approved, Visual Matrix Cloud will automatically generate a folio (guest billing record) and post the related charges. These charges are attributed to the user account named ‘Admin’ by default.
To enable this, the add-on must first be defined both in Canary and in Visual Matrix to match correctly.
4a. In Visual Matrix, the Arrivals list will include guests who have completed the pre-arrival process in Canary; their reservation status will appear as PRG in VM.
4b. To find only pre-registered reservations, in the Reservations (or Arrivals) view in Visual Matrix, use the search dropdown menu and select Pre-Registered; the list will then filter to show only reservations with the pre-registration status.
5. Once the guest completes check-in at the front desk, Canary updates the reservation status to Checked-In. Visual Matrix should reflect this status accordingly.
