In the Availability screens (Reservations or Group → Availability), you not only see the general room availability and restrictions (MLOS, Soft/HARD Close, CTA), but also group allocations for future dates. These allocations represent rooms reserved for groups that haven’t yet been picked up. By toggling Show Event Name, you can distinguish identical group names by event. You can also click a group name directly to open its group reservation from the availability view. This tool helps you monitor block usage, verify that allocations are honored, and navigate to groups quickly without leaving the availability interface.
Path: Front Office > Reservations/Group > Availability
Overview
1. In the availability interface, scroll to the bottom or lower portion of the display to see the Group Allocation section.
2. The Group Allocation section columns show:
- Group Name: clicking the name opens the group reservation
- Room Type: the room type allocated for that group
- Allocation: number of rooms allocated to that group for that date, which have not yet been picked up
Hover your cursor over the Group Name link and click it to open the group reservation directly for review or editing.
3. If multiple events exist under the same group name, use the Show Event Name checkbox to display event names instead of the group name to disambiguate.
Use this view to quickly confirm that allocations have not been over-committed and to jump into group records for adjustments.
Still Need Help With This Topic?
Ask Yourself:
- Did I open the correct Availability view (Reservations or Group)?
- Are the group allocations showing as expected (only unpicked rooms)?
- If I have multiple events with the same group name, did I enable Show Event Name to distinguish them?
- Did clicking the group name open the correct group record?
Support May Ask You:
- What date/room type are you examining?
- Which Group Name / Event Name is not appearing as expected?
- Did you click Show Event Name?
- Can you share a screenshot of your availability view showing allocations?
- After clicking the group link, did any error appear?
